      A useful quotation explains what the client will receive, what is excluded, when delivery can begin, how long the price remains valid and what happens when the scope changes. The workspace combines those commercial details with itemized pricing instead of producing a bare total.

      The document type can be labelled as a quotation, estimate, price proposal or bid. Use a quotation when the scope and price are sufficiently defined, and use an estimate when quantities or assumptions may still change.

      The scope section separates the project summary, included deliverables, exclusions, client responsibilities, proposed start window, estimated timeline and revision allowance. These entities reduce misunderstandings that can arise when the total price is clear but the boundaries are not.

      For variable work, state the assumptions behind quantities and timelines. For fixed work, describe the exact output and the written variation process for anything outside the agreed scope.

      Optional Items and Good / Better / Best Packages

      Optional add-ons can remain visible without being included in the selected total. The package builder can also present three alternative offers and mark one as recommended. Package prices are alternatives rather than automatic additions to the main quotation.

      This structure supports upsells while keeping the client’s decision clear. It is useful for agencies, contractors, consultants, event services and product bundles.

      Private Cost and Gross-Margin Review

      Each price row can include a private internal cost. The tool estimates gross profit and margin from selected pre-tax revenue, discounts, shipping and adjustments. These private values are excluded from the client-facing PDF and HTML.

      Margin is a planning signal, not accounting profit. It does not include every overhead, currency movement, tax effect, payment fee or project risk. Review the exported pricing CSV carefully because it includes private cost fields.

      Validity, Revision and Quote Status

      The valid-until date can be calculated from 7, 14, 15, 30, 45 or 60 days. The checker warns when a quote has expired or when a very long validity period may expose pricing and availability to change.

      Revision and status fields help identify draft, sent, revised, accepted, declined and expired documents. This browser tool does not create a cloud audit trail, so use clear file names and download the JSON backup for your own records.

      Tax, Deposit and Commercial Terms

      The pricing engine supports tax-exclusive, tax-inclusive and no-tax presentation, line discounts, overall discounts, shipping and adjustments. A proposed deposit can be expressed as a percentage or flat amount, followed by a written milestone schedule.

      The deposit is a proposed term, not a payment record. Receipt and invoice documents should be created separately when money becomes due or is received.

      Client Acceptance and Quote-to-Invoice Handoff

      A printable acceptance block can include a statement, client name, date and comment or purchase-order line. This is useful for PDF or editable HTML handoff, but it is not a verified electronic-signature service.

      After approval, the Invoice JSON Handoff carries selected items, parties, currency, tax and terms into the Invoice Generator. Final invoice dates, payment details and billable scope should still be reviewed.

      Quotation versus Invoice and Receipt

      A quotation is sent before the client approves the work or price. An invoice requests payment after approval, delivery or a billing milestone. A receipt confirms that payment was received. Keeping these documents separate avoids confusing a proposal with a financial record.

      Client names, prices, private costs and terms stay in the active browser tab. No account, database or automatic draft storage is used. Logos and imported JSON files are read locally.

      The tool does not email quotes, track opens, host approval links, apply official e-signatures, verify tax IDs or guarantee contract enforceability. Download the final document and maintain records appropriate to your jurisdiction.
